How to display required employee details?

Hi Team,

I have a text table visualization displaying employee information. When a user selects a specific employee, I want to display that employee’s detailed information in a separate table below. The details table should remain hidden until an employee is selected. Is this functionality possible in Amazon QuickSight?

Hi @Cnagabhairava,

Yes, this is possible in Amazon Quick Sight. I would recommend the following steps:

First, add a action on your main employee table so that clicking a row passes the selected employee to your detail table below. That handles the “show that employee’s details” part.

Second, for the “stay hidden until an employee is selected” part, you’ll want to use a free-form layout, since that layout supports conditional rules that show or hide a visual based on a parameter value. You set up a parameter that captures the selected employee (populated by a set-parameter action on the main table), then add a rule on the detail table so it only appears when that parameter has a value, and stays hidden otherwise.

So the overall flow is main table → action sets the parameter and filters the detail table → conditional rule in free-form layout reveals the detail table once a selection exists.

Additionally, here are some older community posts that may be of some use to you: Show a table visual only on click of a row in another table - #5 by sagmukhe and Showing detailed views or drill down .

Hope this helps and feel free to keep us updated!

Hi WLS_Cesar, thank you for your answer, but here so many employees and many measure are there like(Air, rail, hotel, car, etccc), could you please give me detail solution please,

Hi @Cnagabhairava,

The good news is that the number of employees and measures doesn’t change the approach. You set it up once and it works for every employee, since the action simply passes along whichever employee is clicked.

At a high level, the steps look like this:

  1. Create a parameter to hold the selected employee, with a default value that doesn’t match any real employee.
  2. Add an action on your main employee table so that clicking a row sets that parameter to the clicked employee.
  3. Filter your detail table by that parameter, so it only shows rows for the selected employee.
  4. Add your measures (Air, Rail, Hotel, Car, and so on) to the detail table as the values you want to display.
  5. Switch the sheet to the free-form layout (if not already), hide the detail table by default, and add a conditional rule that shows it once the parameter holds an employee instead of the default value.

To help point you in the right direction for step 4, are Air, Rail, Hotel, and Car separate columns in your data, or are they values in a single column, such as a travel type? If they’re values in one column, a pivot table may display them more cleanly than a regular table. And are both tables built on the same dataset?

I’ve also attached some more resources in case you need further detail:

Hope this helps!
